This policy explains what Kingdom Africa Tours collects, why, and what we do with it.
WHAT WE COLLECT. When you register for a trip we collect your name, contact details, date of birth, nationality, passport details, emergency contact, dietary and accessibility requirements, and any documents you upload. We collect this because airlines, hotels, insurers and border authorities require it, and because we cannot look after you properly without it.
HOW IT IS STORED. Your information is held in a database on our hosting account. Passport numbers are encrypted. Documents you upload are stored outside the public web folder and are served only to you and authorised staff, never by a public link.
WHO SEES IT. You, and the Kingdom Africa Tours staff working on your trip. Coordinators only see the trips they are assigned to. We share what is strictly necessary with airlines, hotels and local partners for your journey, and with nobody else.
HOW LONG WE KEEP IT. Financial and roster records are kept for as long as we are legally required to. Identity documents — passport and visa scans — are reviewed for deletion 90 days after a trip finishes.
YOUR RIGHTS. Ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete what we are not required to keep. Write to the contact address on this website.
